Order Guide

Order Requirements
Our minimum order is one case containing 12 items. Mixed cases are welcomed! All items priced do not include freight, and prices are subject to change without prior notice.

Shipping
Most orders are shipped within 1-2 business days of receipt. Shipping charges are calculated at the time the order is placed and vary depending on the size of the order and shipping address. All packaged sized orders are shipped via FedEx Ground unless otherwise specified on your order. We also offer expedited FedEx services as follows:

First Overnight (Next business day by 8:00 A.M.)
Priority Overnight (Next business day by 10:30 A.M.)
Standard Overnight (Next business day by 3:00 P.M.)
Second Day (2 business Days)
Express Saver (3 business days)

Please note that all transit times are calculated in business days (Monday through Friday), and begin the business day following the date your order is shipped. If you need Saturday delivery, please let us know as additional services and charges will apply. Larger orders of 150 pounds or more may ship on a pallet. If you have any special delivery circumstances, please let us know on your purchase order. This includes delivery appointments or notification, lift gate, inside delivery, etc. Many of our LTL providers offer these services free of charge or at a reduced rate if noted in advance on the Bill of Lading. Any services provided at the time of delivery that are not already noted on the delivery driver’s Bill of Lading will be billed to the consignee upon delivery in addition to the shipping and handling charges on your Hot Shots sales invoice. With all orders, Hot Shots compares several rates to find the best possible shipping solution. We are happy to work with you to find the best fit for your shipping needs.

Pick-Up Policy
If you are a local customer, you may pick-up your order for a flat pick-up fee of $50 (regardless of order size). Most orders placed by 12:00pm EST will typically be available for pick-up the following business day. You will be notified via email when your order is ready for pick-up. Our pick-up hours are Monday through Friday from 9:30am - 11:30am and 2:30pm - 4:00pm. If your account terms are prepaid, your credit card will be charged once your order has been processed and is ready for pick-up. Orders not picked up within 3 business days are subject to a 20% restocking fee.

Backorders
If an item is out of stock, your order will ship without that item, and the shortage will be denoted by a zero quantity on your invoice. Backorders are available upon request and must be requested at the time the order is placed. Shipping charges for backorders are to be paid by the customer. If you would like to be notified of shortages prior to your order being released, please note this in the Comments section during your checkout. This also applies if you do not want your order shipped without a particular product.

Modify your Order/Add ons
If you forget to add something to your order, we will do our best to add it for you. Please contact us immediately and we will do our best to make the change. Once an order is being pulled/packed/shipped, we are not able to make any additional changes.

Cancellations
We will do our best to accommodate changes after an order has been placed. Once an order has been fully processed (pulled and packaged), no additions or deletions may be made. Please note that if you choose to cancel your order for any reason once it has been processed, a 10% restocking fee equal to the subtotal of your order will be applied to your account. New orders will not be shipped until this fee is paid in full. Orders cancelled after the order has shipped will also be charged all associated shipping costs incurred by Hot Shots.

Missing and/or Damaged Merchandise
All damage/shortage claims must be made immediately upon receipt of the order. We will be happy to file a claim with the applicable freight company and ship replacement product or issue a credit memo. Claims taken without proper notation on the delivery receipt and/or without authorization will not be honored.

  • FedEx Ground Shipments: Please retain all merchandise as well as all packaging materials in the event that an inspection is required to process a claim

  • Pallet Shipments: Hot Shots wraps all pallets thoroughly with black opaque shrink wrap. If your pallet does not arrive in this condition, please notify us immediately as there is likely a problem. In the event of damage or loss of product, please ensure that the delivery receipt is noted properly. This includes marking the "No" box indicating that the shrink wrap was not intact as well as itemizing the damaged/missing items and their values. Your signature on the delivery receipt acknowledges that you agree with the notations - regardless of who made them. Delivery drivers sometimes pre-mark the delivery receipt and do not want to wait for you to thoroughly examine your shipment. If you have a problem with a driver, please contact Hot Shots immediately so we can help!

  • USPS Shipments: Upon request, Hot Shots ships via the U.S. Postal Service for packages shipping to Alaska, Hawaii, military, and international addresses only. Services offered are Priority and Express. There is a $4 per box fee for all USPS shipments. Insurance for the full value of the package contents as well as a tracking number are purchased for all shipments. The customer/recipient assumes all responsibility for packages once shipped including claims for damage or loss.

Return Policy: If you are not satisfied with a product for any reason, we glady accept returns and will issue credit for product returned in good condition, less any shipping expenses. If you would like to return product for any reason, please contact us first so that we can make the appropriate arrangements.

Payment Terms
Orders must be prepaid until credit terms can be established. Hot Shots accepts ACH Payments as well as all major credit cards including Visa, Mastercard, Discover, and American Express. Companies who have been in business at least one year may request terms by filling out our credit application. Credit references are confidentially handled and generally require 2-4 weeks for processing. Credit reference sheets are faxed immediately upon receipt of your completed credit application, but please allow at least 2 weeks for your references to respond. Only two open invoices at a time are allowed. All past due invoices must be paid before new orders are filled. An invoice is included on all shipments. Hot Shots will also email a copy of your invoice immediately after your order has shipped.

International Orders:
Hot Shots Distributing Inc. has been exporting worldwide for over 21 years, and we can provide all of the tools necessary to help you get started!

Shipping:
Most orders less than 250lbs (115kg) will be shipped via the United States Postal Service which does not require a broker and includes all customs clearance charges. Available service options include Priority (6-10 business days) and Express (3-5 business days). Rate quotes are available upon request. Orders that are 115kg or greater will ship on a heat treated pallet. (If your country requires a plastic pallet, please let us know.) A freight table on the International page of our website provides estimated transit charges for various sized pallets to several ports and is intended to give you a general idea of transit costs. We are happy to provide a more detailed rate quote to your port of choice upon request. Most customers arrange their own ground transportation from the port to their door; however, if you would like for us to make these arrangements, we are happy to quote this additional service. Please note that pallet freight prices are transit only (to the port) and do not include any customs clearance charges. A broker is required to clear a pallet through customs. If you do not have a broker, please let us know, and we will be happy to put you in contact with a broker in your country. Your broker will be able to advise you on all customs clearance matters including banned items, country specific labeling requirements, and estimating clearance charges.

Payment:
All orders must be paid in full prior to shipping. We accept Visa, MasterCard, Discover, and AmEx for orders of $500 USD or less. Orders over $500 USD require prepayment via wire transfer.

Expiration Dates and Backorders:
Most items ship with at least 6-12 months date remaining. If you would like to be notified of expiration dates and/or out of stock items prior to shipping, please let us know when placing your order so we can do our best to accommodate your request.
